Summary

AI does not solve every business problem, but used in the right place it saves real time. When chatbots, automation and AI integration make sense, and when simpler software is enough.

AI is everywhere these days: in ads, in the news, even on your competitors' websites. All this attention raises a fair question for business owners: "Would it actually help in our business?" In this article we explain when AI solutions make sense and when well-built simple software is enough.

Problem first, technology second

AI is a tool, not a goal. A good project does not start with "let's use AI" but with a concrete problem in the business:

  • Customers ask the same questions every day and answering takes hours
  • Requests get lost between WhatsApp, email and phone
  • The same information is typed into several programs by hand
  • Invoices, forms or documents are read and transferred one by one

Some of these problems need AI; others are solved with well-designed automation or system integration. Seeing the difference early avoids unnecessary cost.

When does a chatbot help?

A chatbot is ideal for frequent questions with clear answers: opening hours, order status, booking an appointment, price ranges, address details. Customers get an answer even at midnight, and your team has time for the conversations that really need attention.

In Europe most customers contact businesses on WhatsApp, so for many businesses the right place is a chatbot running on the WhatsApp Business Platform. A good chatbot hands the conversation over to a person when it does not know the answer, instead of leaving the customer in a loop.

A chatbot alone is not enough when prices depend on the individual case or when a conversation involves contracts or technical scope. Those should always stay with your team.

AI in business processes

Some of AI's most concrete benefits are in background work nobody sees:

  • Document reading: extracting data from incoming invoices and forms automatically
  • Request sorting: classifying incoming messages by topic and routing them to the right person
  • Summarising: short summaries of long email threads or meeting notes
  • Drafting: first drafts of offers, replies or product descriptions

These usually work by connecting to your existing CRM or ERP system. You can find details on our AI automation page.

European rules: the AI Act and GDPR

The EU Artificial Intelligence Act requires that people know when they are interacting with an AI system, so your chatbot must not present itself as a human. Customer messages also contain personal data, so the GDPR applies: where data is processed and how long it is kept should be decided from the start.

Where to start

Starting small is the healthiest approach. Pick one process, for example frequent questions arriving on WhatsApp. Test it for a few weeks, measure the results and expand if it works. We describe a concrete example for restaurants and cafés in our article on online ordering and booking.

How we work at Kordevo

At Kordevo Soft we build AI-supported software, but we do not offer AI as the answer to every problem. In the first conversation we talk about your business and how you work today, and find together where AI would genuinely help. If it is not needed, we say so openly.

You can see our work on the projects page, and if you have an idea for your business, get in touch.
